In the Sale Screen Backend
• All the sale functions are configurable by user. There are
more than 50 different functions to personalize a user profile depending
on the sale type and the user's access.
• Quick sale of items by barcode. When scanning the barcode
it identifies immediately the size and the colour of the item.
• If in place of the barcode you introduce the article reference,
sizes and colours available of the item are automatically visualized
on screen.
• Visualization of the selected item when introducing it in
the sales' screen.
• Multiple ways for searching an item:
» By internal or supplier reference
» By description
» By department, section, family and
subfamily
» By brand and line
» By season
• The search screen of an item visualizes the price and the
stock to facilitate the location of this item.
• An authorized user can do with just one button:
» Consult the sale rates of the item
» Consult the stock of the item in other shops or warehouses of
the company
» Consult whether the item is reserved and by who
» Consult whether the item has been loaned and to who
» Consult whether replacements from the supplier are due to arrive
» Change the units to sell
» Change the sales price
» Change the discount of the line or the sales total
Inventory Control
Simplysty Point of Sale ensures excellent inventory control by providing
the tools you need to enter, order, track, and receive your inventory
items. The logical vendor, style, color, and size hierarchy makes
apparel entry and item lookups clear and understandable. Stock levels
are automatically maintained by performing any of the procedures
in the program. Sell an item, and the quantity sold is deducted
from stock. Place an item on a Purchase Order, and the quantity
on order is updated. Set your desired stock levels and your Purchase
Orders can be created automatically. All of the inventory control
operations in Simplysty Point of Sale are fast, efficient, and easy.
Totalising a Sale
• Normally, a ticket will be printed when totalising a sale.
But Simplysty also lets you define other document types for totalising
a sale: invoices, delivery notes...
• The user has to select the payment form in the Totalisation
screen. If the client gives a bigger amount than the total of the
sale, the change to return to the client will be shown on screen.
• It is also possible to assign a sale to several payment
forms. I.e.: a part in cash and the rest on credit.
• For sales on credit, the user is obliged to enter the client
details, for later control and tracing of the collection.
• Simplysty is a multi-currency application. You can even
collect a sale in two or more different currencies, calculating
the corresponding amounts in function of the used payment form.
When selecting a currency, the different notes and coins are shown
on screen to facilitate entering the amount given by the client.
• If you accept vouchers or checks, the user has to enter
the identification of it to know the source.
• To give a better service at the point of sale, you can define
different designs for printing documents for the client.
• Furthermore, you have two ways to put a sale in hold before
totalising: by seller or by client.
Client Loyalty
• Simplysty lets you create client files in the database to
establish special conditions for them (payment form, price rate,
discounts...) and furthermore trace their purchases afterwards to
detect preferences, purchase habits, tendencies, etc.
• At any moment during the sale, you can select to which client
you want to assign the sale.
• When assigning a client to the sale, the details and the
status of the client will be shown on screen. Besides the address
details, you can find the following information:
» Credit Limit :
In the client file you can assign a maximum credit limit. The credit
limit indication is activated of the total of pending credit of
the client exceeds the amount defined in the client file. It is
also activated if the clients have returned a receipt, promissory
note, check, etc. If the user is not authorized to sell on credit
to a client who has exceeded his credit limit, a cash payment form
has to be chosen for totalising the sale or a superior user has
to authorize the sale.
» Loans : The loans
indicator is activated if the client has loaned items. The indicator
will be deactivated when the loaned items are totalised as a sale
or in case the client returns the items in perfect state.
» Pendings : The
pending indicator warns you if the client has a balance in our favour,
that is to say, he has sales on credit that have not been paid yet.
To settle the debt, the user has to use the Collections button on
the sales screen.
» Advance : This
indicator warns if the client has a balance in its favour. This
balance can originate from two different sources: with an advance
payment for a reservation or by generating a voucher if an item
has been returned and you did not return the money to the client.
When totalising the sale, you can assign the advance payments to
lower the current sales amount with the balance available to the
client.
» Adjustments : This
indicator shows that the customer has left an item to adjust. With
the Repairs button the user can consult, introduce a new adjustment
or make a delivery of a finished item to the client. Adjustments
can be with or without additional cost on the sale.
» Orders : This indicator
warns if the client has reserved items. With the Reservations button,
the user can consult the reservations, create new reservations or
totalise them as a sale. For each reservation, the user can enter
the forecasted delivery date, amounts of advance payments, cancellation
costs and observations.
• For codified clients, the sale can be totalised as a delivery
note. Periodically from Manager, you can automatically invoice all
pending delivery notes to the clients.
• There are specific functions available to consult any type
of client information: realised purchases detailed by date, the
item and price, payment term of the sales on credit, etc.
Statistics and Cash Closing
• Simplysty obliges you to perform at least one daily cash
closing, since cash closing cannot contain transactions of more
than a day.
• Before showing the cash closing report, the user has to
declare all cash for each of the used currencies, detailing the
number of bills and coins of each value.
• Once the cash declaration is finished, the cash closing
report (also known as Z) is printed. The report shown the cash balance
(the difference between the calculation of the application and the
amount declared by the user). By configuration, you can add a series
of reports to complete the daily information: sales breakdown (by
payment form, by seller or by department), auditing reports (changes
of prices, returns, discounts...), etc.
• Simplysty also contains an extended collection of reports
to control and analyse all transactions produced in the shop.
Communications With a Central Database
Simplysty can communicate in two different ways with a
central database managed by ICGManager :
• In Real Time: The shop is online connected with the central
database. All transactions generated by the chain of shops are updated
and presented in real time in the same database. This is the only
recommended way if you want to consult stocks and pending collections
of all shops.
• Deferred: The shop has its own database. When realising
the daily cash closing, the sales and other transactions will automatically
be exported to the central. The item and price modifications done
by the central will also be imported periodically.
REPORTS
Simplysty Point of Sale contains a variety of reports that will
help you grow your business. They provide solid statistical information
about your customers, your inventory, your vendors, and your best
selling items.
There are sales reports that rank your best selling items, list
the profit and markup of items you have sold, and illustrate which
vendors are your best and most profitable.
Inventory reports can be used to obtain a current inventory value,
to show what to order, and to provide the information you need to
set up max and min levels.
There are also a number of other reports that help you manage your
customers, Purchase Orders, Special Orders, Layaways, Accounts Receivable,
and Accounts Payable.
With Simplysty you can also customize hundreds of other reports
to fit your daily needs and if you want to create your own reports
you can just drag and drop the information and reports are done.
